BAND CONTEST
The Third Annual Revere High School Marching Band Invitational will be hosted by the Revere Marching Minutemen. Event is sponsored by the Revere Music Parents Association. This is a very exciting evening of outstanding performances showcased by the finest High School bands. These fine musicians and performers have put forth endless hours of hard work, dedication, and sportsmanship in planning and practicing their performances. Looking forward to another successful event and night of entertainment with your help!

Job Descriptions
Director Check-in
Director check is in located at Hillcrest Elementary at the parent pick-up doors by the gymnasium. You will need a table and chairs and 4 to 5 sharpees. Be very understanding of the directors needs, we all get a little crazy. Keep smiling
You will hand the director a packet and check off their name. Have the student helpers mark each band and staff member’s hand. It is easiest if you do it while they are still on the bus. They will also give them a box of apples for the band. Tell the band director where the bathrooms are in Hillcrest. Pass them off to the assigned guides. You can show them where to park. Dave Shriber will be in charge of that. They may ask were warm-ups are. The soccer field is split in and Area A in closest to the school. And remind them to face away from the high school, opposite of the play ground equipment.
Bus Parking
Once the directors have checked in and the members have been marked by the students, you can have them park the buses. If you have to send them to the church, they may want to unload everything first. Remember you can line additional buses along the drive in front of the school. If people have started parking cars on St. Victors send them over to the high school teacher’s lot. Be very patient with the drivers and directors. It’s a very small area and we aren’t not sure how many will fit. It could get a little crazy over there.
Equipment (High School)
Someone needs to be at the entrance of the parking lot off of Everett Road. You will need to stop spectators for trying to park in this lot and tell them how to get to the spectator lot which is the lot behind the away stands. We will also need to gate the other entrance by the “whole in the wall” There may not be many buses coming over to this area until Hillcrest fills up, mainly some equipment trucks may come and park. Have truck park along the fields.
Stadium Staging Area
Staging Area is located at the entrance to the home side of the stadium near the athletic concession stand. Multiple things are happening at this point and could get messy. You are assisting bands entering and exiting the field. Streamers will have to be attached to the outside double gates where the bands are coming in. The band or pit will stop for water then move to the gate that leads to the track. The streamers will be pulled up by two of you as the band enters the stadium to stop people crossing through going to the bath room or concession stands. The incoming band will send their pit first and then the band to follow. After the water break, pits can move on to the track and line up along the fence in the last few lanes, tell them not to go more then the 20 yard line The band will move out onto the track and move around back and have them stop just beyond the flag pole until the previous band finishes. Tell them they may go back field once the previous band starts exiting. Kate Ferguson (Band Director of Crestwood HS) will motion the pit to come out once the previous band has completed their performance. The band will exit first followed by the pit. Make sure to keep a passage open between the entering band and pit so the previous band can exit cleanly
Water Station (High School)
You will need a trash can, table, coolers and cups. Set up the water station near the sports concession stand. The band will enter the large double gate off the parking lot, stop for water before they are led on to the track. There is a large concrete pipe in the ground, I would put the table around there and keep it away for the concession windows. After each band, set up for the next. You should have 2-3 helpers assigned to you.
Water Station (Hillcrest)
You will need a trash can, table, coolers and cups. Set up the water station near the gym doors, director check in will be near by as well. Bands will not be flooding you; you will have to see how it goes. This could be self serve. Just make sure they keep the area cleaned up. After each band, set up for the next. You should have 1-2 helpers assigned to you.
First Aid
First Aid station will be set up inside the stadium at the entrance by the “whole in the wall”. You will need a table, a few chairs and the cross country tent. You may want water and cups, too. Have a basic first aid kit handy. We can not hand out medications of any sort. This station is more a location for the student and directors to bring the child so that the paramedic can have easy access and the child can be kept calm. Have the child relax and if it is more than just over excursion, please call the paramedics.
Admissions/Programs
Admissions and Program tables should be set up at the middle school end of the stadium. You should have a few chairs and a money box. You will need a lot of one dollar bills. Simple operation, one person can collect the money, the next puts a mark on the persons hand, then sell them a program. You may want the programs a little distance away so you don’t jam up the admission line. You will probably get hit in waves as each band gets closer to their performance time. If they are not marked they pay. If they say they are a staff member they need to go to Hillcrest to get marked. Some staff do drive separately from the band bus.
Video Taping
You will be video taping each band. The camera and tapes will be provided, you just need to mark their school name on it.. We need to set the camera on the top of the press box 50 yard line, hopefully there is a tripod. There is a tent in the press box you could set up if the sun is over powering. After the band finishes, hand the tape down to Cindy Fahey and she will stuff it in the envelope. I might bring mine so we can have a video of all the bands for our archives. You will have to start and stop that as well.
Concession Stands
Russ Schneck is in Charge of the Minuteman Café.
Jack Cooper will be in charge of the athletic stand.
Basket Raffle
You will need a few tables depending on the number of baskets you have and a couple of chairs. Your area should be around the pie tent. What I have seen done before is tape a paper bag on the edge of the table in front of the basket or a plastic container with a slot cut in the top and the people just drop in the tickets as they go buy. You want to make sure the containers are secure so they don’t blow away and knocked off and mix up tickets. Remind people to keep their stubs and the raffle will be at the last judge’s break. If the weather gets ugly you can move into the seating area set up for the pie tent. Cost $1.00 a ticket or 6 for $5.00. There are a few students assigned to help you, use them as you see fit.
T-shirt Table
You will need a table and a few chairs. If the weather gets ugly you can move in tot the seating area set up for the pie tent. You will need plenty of ones for change. T-shirts are $12.00 at the show, $10.00 for Revere Band Students who failed to pre-order. If the weather gets ugly you can move into the seating area set up for the pie tent. There are a few students assigned to help you, use them as you see fit. Be somewhere around the pie area.
50/50 raffle
You will need a bucket and a lot of tickets. You can hang out by the pie tent, basket raffle and T-shirt area. If the weather gets ugly you can move into the seating area set up for the pie tent.
Pie Tent
There are two large tents for the pie tent area. The pie tent area is the level area between the Minuteman Café and the bleachers. One tent needs to be set up for you and the pies and the other is just going to be a sit down area for spectators. You will need tables for the pie tent and table and chairs for the other. We will have student around Saturday to set things up. Make sure you get a cash box from Linda Phillips, I am sure you know what to do for the pie tent.
Judge’s Meal/Hospitality
Judges meal will be in the press box. The food should be set and ready to go by 4:30-5:00 pm There should be a selection of sandwich items, sides, beverages and desserts. We should have a table set up in the press box for all items so they can self-serve. There should be a cooler around to put a selection of beverages-sodas, diet sodas and water. I think there is a small coffee pot up in the press box which would be good to have as well if there isn’t one around. We would need all the paper products and condiments to go with the meal. We can probably raid the concession stands for any forgotten items.
Bleacher Entrance Guards
You will need to tie ropes/streamers or caution tape around the steps/railings under the bleachers so people don’t come up through there. At each end of the bleachers you could tie a streamer to pull across during band performances. People can only go to their seats between bands. Once the field commanders salute I would pull up the streamer. You should be able to stand on the top landing were the ramp and steps meet. You can see the field and watch the steps at the same time.
Other
The band will be setting up as much as possible between 1-3 Saturday afternoon
Walkie-Talkies will be located at the Check-in, Minuteman Café, First Aid, and Press Box and Mr LeBeau.
